Traditional business has used manual ways of keeping order in the office. These systems consisted of various types of elaborate filing systems so that employees could stay organized in their work and quickly find anything they needed pertinent to the task at hand. Desk tops would be covered with desk pads containing ink blotting paper and often times full-size calendar layouts to help in scheduling the days activities for a whole month at a time. You would also see mechanical rolodexes or miniature file boxes holding 3x5 index cards with contact information. There would always be an inbox and an outbox on each desk. One of my first jobs as a boy was working in a large corporate mail room. I remember well how busy it was. There was a scheduled run you had to make every hour or so just to keep the paper flow moving within the organization. Those were the days.

Well those days are gone now. No longer do we hear the hum of a 100 typewriters in the typing pool. Today we can store every single piece of data we would ever need right on our laptops. We have since learned that the use of technology can bring up challenges that can be a hindrance to being as productive as one would want to be. How many times have we heard things like I am so overwhelmed or there is so much information or my head is just spinning. We have probably all said something like this especially when we started out learning first about computers and then hooking up to the internet.

But it does not have to be overwhelming and can actually be fun organizing your work on your computer. Most of us at some time have used a traditional filing system in our various work places. Microsoft in developing their operating system has set it up so that we can continue to think the same way when we are organizing our work. The only difference is that we are doing it in a virtual world meaning that our hands never really touch the file or document. We do everything with our computer mouse or our built in touch pad on our laptops. Every action is completed by left clicking or right clicking. How much easier can it get? Seriously!

So, the easiest way to understand using your computer is to think of it as a Super filing cabinet with mega room for thousands of categories, files and documents.

Remember this is all about being efficient in finding something when you want to find it and storing something where you want to store it. Now if you are into writing Articles as a means of promoting your business and if you are doing it regularly as in every day then you are quickly going to amass a large amount of information that you will really need to keep in order or it is guaranteed you will get overwhelmed.

In writing Articles and keeping everything organized there is one basic thing to keep in mind when submitting to the various directories. They are not all the same and they have different submission guidelines. If you choose to ignore these guidelines expect to get a lot of articles rejected. Also, not all of them inform you whether your article was rejected so when signing up to these directories do your due diligence and log in once after registering before submitting any articles to ensure you complete your set up properly. You will first of all gain the respect of the Article Directory administrator for taking the time to set up your account properly. The result will be a lot less article rejections.

In regards to preparing your article for submission not all Article Directories that you choose to submit to allow the same type of content in the body of your article. Some will allow self-serving links usually using the html code as in this example:YOURTAGHERE. What this will do is not show your web site URL but the reader will only see the tag which would usually be key words in your article. Example; The words make money if make money was the tag would show up as highlighted in your article text and if the reader clicked on it they would be directed straight to the web site or business or product you want to promote.

Other Directories allow only pure text content in the article body. It would be good to go through the Directories you have registered with and categorize them according to their Submission Guidelines. If you use auto posting software you can usually categorize the Directories within the software but if not just use a spreadsheet. This again will ensure you get less rejections and that your articles will be online a lot quicker.

So, how does the way articles are to be submitted affect my organizing of my articles. It is simple, really. Because of the variations in the Article Directory Submission Guidelines when you write an article you will need to save it in at least two different formats. This is so you can take advantage of the Article Submission Guidelines.

You will save one article in a Folder called (Articles with NO Tags) and then a copy of the same article but now with href tags added in a Folder called (Articles with Tags)

So to be organized first do this: Create folders by right clicking your mouse and choosing new folder . You can do this right on the desktop or in your Documents folder. It is up to you, Now, name the folders as follows.

Master Article Folder once named and saved double-click on it and open it. Then repeat the procedure now inside the new folder. Create now two folders within this folder named:

Articles with Tags then a second folder named: Articles with NO Tags. It is really very easy to be organized. To see a schematic layout of what this might look like you can click on the following link to see a picture of the layout. This layout assumes that you may be working on promoting more than one program. Here is the link.

Take the time to be organized you will be glad you did.
