When the office printer breaks beyond repair

Wise executive secretaries and office managers daily give thanks and praise to their laser printers, Acknowledging that colleagues frequently curse and revile their printers, and workers typically under-rate the printer’s importance, office bosses imagine few disasters greater than a printer breakdown.

If the printer breaks down, the entire operation grinds to a halt. Managers imagine the same hideous screeching sound they would hear if someone pulled the emergency stop on the subway; they imagine the same sparks and steaming hiss rising from the printer as from locked-up subway wheels skidding along cold, hard subway rails. Workers in their cubicles suffer whiplash as the printer cartridge freezes in its tracks. An office fire, maybe even an earthquake, poses fewer dangers than a printer breakdown.

Routine printer fixes

Wise office managers have worked with their vendors and service technicians, developing skills and collecting tools, learning the printer’s weak spots and a few quick-and-dirty repairs to keep the cartridges jetting back and forth. Cartridge replacement? Done faster than a bad guy can steal a classic Mustang—thirty seconds maximum. Most serious paper jam? Still fixed in under a minute! Too many documents getting held in the buffer? Printer rebooted and documents sent again in five minutes.

Sometimes, the quick fixes go a little too quickly, requiring a second attempt. As a rule of thumb, managers know that a five- to seven-minute interruption in printer service simply inspires the crew to refill their coffee mugs, smoke ‘em if they got ‘em, and grumble about “stupid damn printer.” Beyond the seven minute window, however, the crowd grows surly…and then it just gets ugly. Allowing for do-overs, skilled and savvy office managers can complete most routine printer repairs within the seven minute window.

At six minutes and fifty-nine seconds, the most experienced all-star managers call their service technicians, whose numbers they have on speed dial. Next to “fixed it,” “service tech is on his way” ranks high on the list of employee palliatives.

But what about the disastrous day when the quick-and-dirties, the routine repairs, and the great improvisations no longer work?

Major printer breakdowns

Intuition and experience inform managers’ decisions about flying the white flag and surrendering to the printer’s whims. As with all post-modern technological equipment, printers’ product lives extend about eighteen months. With expert routine maintenance, a high-quality printer may last two years in demanding everyday use.

When a printer passes its second birthday and grinds to a halt, you typically pay less to replace it than you would pay to repair it. Replacement parts grow extremely rare… warranties expire, and the manufacturer demands you return the “ancient” machine to the factory for complete reconditioning, stipulating that you should buy an extended service plan when the factory returns your machine.
