What Online Fax Services Do

Online fax services basically take care of everything that a fax sender would want, allowing all of it to be done from a user’s computer. Many of them have their own downloadable interfaces that allow the user to send faxes (without manually entering numbers on a fax machine), see when faxes have been received, archive and store faxes, modify and customize settings, add users to accounts, oversee security options, and many other features. The servers or websites selling these software packages can themselves also archive and store faxes and perform many other functions. They often allow users to keep stored faxes on their servers for as long as a year before they have to either back up or delete them.

Online Fax Storage Options

There is nothing in principle different about a fax file from, say a word document or Jpeg. There is no specific file type that is always used for faxes – there is a lot of conversion possibility between file types. Word documents, PDFs, JPGs, GIFs, PSDs, HTML files – all of them can be faxed. The only thing that makes a fax a fax and not simply a file you print out on a printer is the fact that it uses the phone lines and fax machines. That is to say, in internet faxing there is an interface between the internet in a digital sense and the final analog output of the document through a phone line/fax machine.
This all being the case, faxes that are stored online are just like many other files – they are stored in a variety of text and image formats in some organized fashion on servers. So just as with other data storage you have a number of options:

Store a fax file on the server of the online fax service

This option allows you to take advantage of features offered by an online fax service for dealing with your stored files: They can be sent again, archived, and so on.

Store a fax file on your computer

You can simply store files that have been faxed or are about to faxed on your computer’s hard drive, a CD, a flash drive, etc. Technically this isn’t online storage if by “online” one means the web, but it is computer storage. Often the program that comes with an online service that deals with faxes will have its own easy to use interface for fax storage on your computer.

Store a fax file with a general online storage service

There are many sites that offer online storage of all types of files, not only faxes. So one online fax storage option is to store your faxes with these services ' servers rather than on a specific faxing service’s servers. If they offer more storage or are cheaper, this might be a good option. However, keep in mind that they don’t offer interfaces and services for dealing with faxes specifically as an online fax service does.

These days faxing and storage of faxes are easier than they have ever been. There are so many services and faxing and storage options that it can sometimes be difficult to choose one. The best way to select a good service is to look at review sites that list and review a series of them side by side. This will allow you to compare price, services offered, and customer satisfaction for each service to arrive at the right one to meet your needs.
